E-Page/MultiTrace User Guidance for Members

Welcome to the e-page MultiTrace User Guidance - for Members.

On this e-page you will find guidance on how to use MultiTrace, the new traceability system of the Rainforest Alliance (UTZ Certified), including: quick start guides, instruction videos, training webinars, checklists and templates.

Currently, MultiTrace is only being used in the Coffee and Hazelnut program by both members and certification bodies.

Licenses for the Coffee and Hazelnut program are requested through MultiTrace.

Prior to getting a license, an audit needs to be scheduled in MultiTrace. Please get in touch with your Certification Body to schedule the audit in the system.

If you are audit exemptedplease contact our Member Support team at membersupport@utz.org.

Instructions using the functionalities in MultiTrace are shown in guidance recordings.

Please use the table of contents on the right side to navigate through the manual.

6. Audit preparation

6.1. Planning an audit

The process of planning an audit in MultiTrace is initiated by your certification body. Once you have selected a CB to conduct the audit and agreed on the date, your CB needs to indicate the audit information in MultiTrace.

Once the audit date is entered by your CB you will get a notification mail requesting to confirm.

Please see the instruction video in chapter 1. Introduction - Quick Start to see how to plan the audit.

Clicking on the calendar icon makes it possible to Re-schedule an audit if needed.

Please make sure you confirm the date. Your CB will not be able to proceed if you do not accept the proposed audit date.

After the audit planning is initiated by the CB and accepted by you in MultiTrace, you will need to prepare for the audit by submitting information such as: sites, subcontractors, intermediaries, the group member registry and management plan (for producing members), and a self assessment.

Please see the instruction video in chapter 1. Introduction - Quick Start to see what you need to do before the audit takes place.
