Welcome to the MultiTrace E-PAGE for Tea - (Pre-merger RA and UTZ Members)

Both the Pre-merger RA/UTZ Tea Members can use their existing usernames and click on the reset password option on MultiTrace to log in. (for any questions you can contact our Customer Success Team at customersuccess@ra.org)

1.1. What is MultiTrace?

MultiTrace is a future proof traceability system facilitating our members’ growing demand for credible certified farm data. It supports a new and improved way of working between the Rainforest Alliance and certification bodies, farmers and companies which will ensure better data quality, accessibility and transparency. 

MultiTrace lays the foundation for future innovations. In our new vision of certification, the data flow starts at the farmer and in time, this should come to include the smallholder farmer. The future ability to access farmer data and tap into other data sources will create a more holistic view of the supply chain. This will give us all better insights to act upon, so that together we can contribute to a world where people and nature thrive in harmony.

 

WHY IS TRACEABILITY IMPORTANT?

The purpose of MultiTrace is to safeguard the traceability of certified products throughout the supply chain and to enable certification and licensing.

Reporting purchases, sales and processing activities of certified products is a requirement of the certification standard. 

 

FREQUENCY

It is required to update your trading stock at least once every three months. To keep a better and clearer overview of your available volumes and open transactions, we recommend you to update your Trading & Stock more frequently.

It is very important to perform transactions so your buyer has the purchased volumes available for their own processing/trading activities in MultiTrace.

The use of the traceability system will be checked during your (surprise) audit, and when done correctly, it will avoid non-conformities. 


1.2. Do I need to register?

EXISTING PM-UTZ MEMBER/PM-RA Participants

If you are already participating in the UTZ and/or Rainforest Alliance program or, you will not need to register in MultiTrace. Your existing GIP (Good Inside Portal) and/or Marketplace account data and volumes will be migrated to MultiTrace.

Please note that farmer lists (for producer group members) will not be migrated.

Pre-merger UTZ

Good Inside Portal Producers and supply chain actors volumes, along with users and profile information will be migrated to MultiTrace.

Pre-merger RA

For Pre-merger RA participants, only Producer volumes will be migrated to MultiTrace, Moreover, only the volume from 2018 onwards will be migrated.

Please note that farmer lists (for producing group members) will not be migrated.

New log in data

MultiTrace is not accessible with your existing Good Inside Portal (GIP) credentials or Marketplace credentials. Users are migrated to MultiTrace with their associated email address and username. In order to access MultiTrace you will have to click on the “Forgot Password” button on the login page and add your username and submit a request to reset your password. You will receive a link to enter MultiTrace.

NEW MEMBER PRE-MERGER UTZ

If you want to join the UTZ Tea program, you need to register in Good Inside Portal. Only after you are registered and have obtained a valid license, you are allowed to buy and sell UTZ certified products. You can submit your registration form for a tea account by clicking the link below.

NEW PRE-MERGER RA Producer or SCA

If you want to join the RA Tea program, you need to register in Marketplace. Once a Producer has registered the certification body will start the licensing process in Salesforce.

1.3. How do I get access to MultiTrace?

Pre-merger UTZ and Pre-merger RA Tea sellers are migrated to MultiTrace with their associated email address. For security reasons a new password will be generated for you, that will be sent via email, which you then can amend after your first login to MultiTrace.

If your company was already registered by one of your colleagues, you do not need to register your company again. The administrator of the account can add you as a new user under the Users tab in their profile.

If you do not have an account in Good Inside Portal /Marketplace, Pre-merger UTZ members will have to register in Good Inside Portal and Pre-merger RA participants will have to register in Marketplace. Your account will then be synced to MultiTrace. In order to access MultiTrace you will have to click on the “Forgot Password” button on the login page and add your username and submit a request to reset your password. You will receive a link to enter MultiTrace. The username will be the same as it is for Good Inside Portal/Marketplace.

2. Password reset

If you forgot your password, please click on ‘forgot password’ in the login page to request a password reset.

Please send an email to customersuccess@ra.org in case you have trouble getting a new password.





3. Registration

If you do not have an account in Good Inside Portal/Marketplace, Pre-merger UTZ members will have to register in Good Inside Portal  and Pre-merger RA participants will have to register in Marketplace 2.0 to sell RAC tea. 

 

1  Add colleague users to your company account

To add more users to your company account in MultiTrace please see chapter 4.1 "Add users".

2  Company hierarchy

To link a daughter or parent company to your account please add the hierarchy information. See chapter 3.1 "Hierarchy" for details.

Hierarchy 

3.1. Hierarchy

The hierarchy indicates the parent-daughter relationship your company might have.

In general, the parent company receives the invoice for fee for all companies in this structure.

In the rare case that not the mother, but the daughter company should receive all invoices, the billing address can be adjusted under the account of the mother company in MultiTrace. Please note that all invoices issued to all daughter companies in the hierarchy will be sent to the mother companies' billing address.

To change the billing address, please see chapter 4.3 "Change address".



3.2. Subcontractor / Intermediary

subcontractor is a separate company that is contracted to perform activities for your company, e.g. slicing. Typically they do not own the RA/UTZ certified product. A contract or agreement exists, in which the activities, conditions and relation between your company and the subcontractor have been specified.

An intermediary is a party that buys and sells your company products for you. A contract or agreement exists, in which the activities, conditions and relation between your company and the intermediary have been specified.

site is the physical location where the activities of your company or those of your subcontractor are performed. A site may involve multiple farms.




3.3. Traceability level

A program level describes the product’s traceability level. RA/UTZ offers the following program/traceability levels:

Identity Preserved (IP): The identity of a certified producer/producer group is maintained along the supply chain. The product can be traced all the way back to the producer/producer group that it originates from.
A variation of the IP traceability level is Mixed Identity Preserved (MixIP). Under this level, the product from multiple producers/producer groups is mixed, but can be traced back to this group of producers/producer groups. Requirements which apply to the IP traceability level also apply to MixIP.

Segregation (SG): RA/UTZ certified product from different producers/producer groups is mixed. The product is guaranteed to be produced by RA/UTZ certified producers/producer groups, however the identity of the specific producers is lost.



3.4. Fee Types & Finance

The Finance tab in MultiTrace shows Royalty per commodity and displays an overview of the invoices. This overview does not include a payment history.

Each commodity has one currency (currently in Euro or Dollar).

Credit Notes are shown as negative invoices (negative amount due to e.g. a reversal of a trade that contained Royalty). Credit Notes that are issued outside of MultiTrace are not displayed here.

Billing information

Please make sure you enter the billing contact person, billing address, email address, phone number and VAT number (mandatory for clients in NL and EU) in your company profile.

3.5. Deregister

You can deregister a commodity if you are no longer producing or trading that product.

Note: If you want to remove a user from your account please see chapter 4.

To remove a commodity or deregister your MultiTrace company account, please send an email to customersuccess@ra.org. If you have any pending transactions. It is not possible to deregister while there are unconfirmed transactions.
